No Data Protection Officer (DPO) has been appointed, as this is not required under the applicable regulatory framework for this type of organisation.

  1. Data Collected and Purposes

2.1 Contact Form

When you use the contact form on our website, we collect: name and surname, email address, country of residence, subject and message. This data is processed exclusively to respond to your enquiry, on the legal basis of legitimate interest (Art. 6(1)(f) GDPR).

2.2 Competition Registration

When registering for the EFPA, we collect: name and surname, email address, country, photographic works submitted, EXIF/IPTC metadata, and payment information. This data is necessary for the management of the Competition and the fulfilment of the contractual relationship (Art. 6(1)(b) GDPR).

2.3 Payments

Payment data (credit card, bank transfer details) is processed through secure third-party payment providers. ASD La Parola del Mare Club does not store payment card data directly. Processing is based on the execution of a contract (Art. 6(1)(b) GDPR) and compliance with legal obligations (Art. 6(1)(c) GDPR).

2.4 Newsletter

If you subscribe to our newsletter, we collect your email address and, optionally, your name. Data is processed on the basis of your explicit consent (Art. 6(1)(a) GDPR). You may withdraw your consent at any time by clicking the unsubscribe link in any newsletter or by writing to info@freedivingphotoaward.com.

2.5 Submitted Photographs

Photographs submitted to the Competition are processed for the purposes of jury evaluation, publication on official EFPA channels, exhibition, inclusion in the EFPA Charitable Calendar, and promotional use, in accordance with the licence granted under Art. 11 of the Official Rules & Regulations.

  1. Cookies

Our website uses the following types of cookies:

  • Technical cookies — strictly necessary for the website to function correctly.
  • Google Analytics cookies — used to analyse website traffic anonymously. You may opt out via: tools.google.com/dlpage/gaoptout.
  • Google reCAPTCHA — used to protect forms from spam and automated abuse.

  1. Data Retention
  • Contact form data: retained for 2 years from the date of your enquiry.
  • Competition registration data: retained for 5 years after the close of the Competition, as required by applicable law and the Official Rules & Regulations.
  • Payment data: retained for 10 years in compliance with Italian tax and accounting obligations.
  • Newsletter data: retained until you unsubscribe or withdraw consent.
  • Submitted photographs: retained for the duration of the 3-year licence period and, where published online, may remain accessible for historical purposes thereafter.
  1. Data Sharing and Third Parties

Personal data will not be sold or transferred to third parties for commercial purposes. Data may be shared with:

  • Jury members — for the sole purpose of anonymous evaluation of submitted works.
  • IT and platform service providers — acting as Data Processors under appropriate agreements.
  • Payment processors — to handle entry fee transactions securely.
  • Public authorities — where required by law.

Some service providers (e.g. Google) may transfer data outside the European Economic Area. Such transfers are governed by Standard Contractual Clauses approved by the European Commission.

Under GDPR, you have the right to:

  • Access — obtain confirmation of whether your data is being processed and receive a copy.
  • Rectification — request correction of inaccurate or incomplete data.
  • Erasure — request deletion of your data (‘right to be forgotten’), where applicable.
  • Restriction — request that processing be limited in certain circumstances.
  • Portability — receive your data in a structured, machine-readable format.
  • Objection — object to processing based on legitimate interest.
  • Withdraw consent — at any time, where processing is based on consent.
